Roles and permissions

What an Account Admin can do, and what each account and location permission allows.

Permissions decide what each person can do in Wren and where. Some apply to the whole practice, and some to one location at a time, so a buyer at one clinic can order there without seeing the others. You set them when you invite someone and can change them whenever you like.

Two roles: Admin and Team Member

The Users page shows each person's role:

  • Admin: an account admin. They can do everything, at every location.
  • Team Member: anyone else. They can do what their permissions allow.

You make someone an admin with the Account Admin switch when you invite or edit them. While the switch is on, the permission boxes are not needed and can't be ticked: an admin already has them all.

What only account admins can do

Account admins see every entry under Account Settings at the foot of the sidebar:

  • Company Settings: the practice profile, approvals and inventory settings.
  • Locations: add, edit, disable and activate locations.
  • Inventory: lay out the rooms and shelves where stock is kept.
  • Users: invite people and set their permissions.
  • Suppliers: the supplier directory and its catalogs.
  • Billing & Subscriptions: your plan, locations, payment methods and payment history.

Someone who is not an admin sees only the entries their permissions allow. With the Users permission they see Users; without it, the menu has nothing they can't use.

Account permissions

Account permissions apply to the whole practice.

PermissionWhat it allows
UsersManage the users of the account: invite people, change their permissions and remove them.
Catalog AdminManage the catalogs of the account.

Location permissions

Location permissions apply to one location, or to all of them when you choose All Locations. Give a person what they need at each site they work at.

PermissionWhat it allows
Purchaser Level 0Order from a list of designated items or items bought before.
Purchaser Level 1Create orders that need approval at the location.
Purchaser Level 2Create orders and approve them.
Inventory 1Take items out of inventory.
Inventory 2Full access to inventory.

Choosing permissions

  • Give the least that does the job. It's quick to add a permission later.
  • Think per location. Someone who covers two clinics needs permissions at both. Choose All Locations for people who work everywhere.
  • Keep more than one admin. Your own permissions are changed by another account admin, so it helps to have a second one.
