Review and send an order

Take an order from draft to your suppliers, with the approvals your account asks for.

When you press Order Now in your cart, Wren makes the order and opens it as a Draft. Nothing goes to a supplier yet. An order goes out in three steps: you mark it ready, the reviewers approve it, and then it is submitted to every supplier at once.

An order: its reviewers, its suppliers, and its tabs

Step 1: Mark it ready for review

While the order is a Draft, you can still change it and no supplier has seen it.

  1. Open the order from Orders.
  2. Check the items on Order Summary, supplier by supplier.
  3. Press Ready for Review.

The order now reads Pending Review and shows up for whoever approves orders. Its Pending Approvals counter shows how many approvals it is waiting for.

Step 2: Get it approved

The people listed under Reviewers approve the order. A tick beside a reviewer's name means they have approved. To add a reviewer, use Add user under Reviewers.

Your account decides how many approvals an order needs. When it needs more than one, the button shows the count so far, for example Approve (1/2). See Approve an order for the reviewer's side.

Step 3: Submit it to your suppliers

Once the order has all the approvals it needs, Submit Order appears at the top of the order for the reviewer who approved it.

  1. Press Submit Order.
  2. Under Company contact, choose who is told the order went out.
  3. Under Who to include in our Email, add anyone to copy.
  4. Press Submit.
  5. A last window lists every supplier and every item that will be sent. Check it, then press Confirm Submit.
  6. Wren sends each supplier its part in turn and shows how it went. Close the window when it is done.

The order now reads Submitted, and Sent to Supplier on the Orders page. It is no longer in Pending Review.

What happens next

Each supplier receives its own purchase order with only its items on it. You find them on the order's Purchase Orders tab. Shipments and invoices from each supplier come back to this same order, on the Shipments and Invoices tabs, so the whole story of the order stays on one page.
