Order statuses

What each order status means, and how to find an order on the Orders page.

Every order in Wren has a status that tells you where it stands, from the first draft to the last invoice paid. The Orders page lists every order for your practice in one place, newest first, so you can see at a glance what needs you.

Orders, filtered by where each one stands

The Orders page

Open Orders in the sidebar. Each row is one order, even when it holds items from several suppliers. The columns show:

  • Order: the order number.
  • Location: the location the order is for.
  • Total: what the order comes to.
  • Date Created and Last Updated.
  • Status: where the order stands.

Press a row to open the order.

The year so far

Four counters at the top of the page give you a quick read of the year to date:

  • Total orders YTD: orders placed this year.
  • Total spend: what you have spent.
  • Pending approvals: orders waiting for a reviewer's approval.
  • Orders completed rate: the share of your orders that have been completed.

What each status means

StatusWhat it means
DraftThe order is still being put together. You can change it, and no supplier has seen it.
Pending ReviewThe order has been marked Ready for Review and is waiting for the approvals your account asks for.
SubmittedThe order is approved and has been sent to its suppliers. The filter calls this Sent to Supplier.
CompletedEverything in the order has arrived and every invoice for it is paid.
ClosedThe order was stopped on purpose, with a reason.

An order moves through these in order: Draft, then Pending Review, then Submitted, then Completed. Closed can happen at any point before an order is completed.

Filter the list

Above the list, press a status to see only those orders: All, Draft, Pending Review, Sent to Supplier, Closed or Completed.

  1. Press Pending Review to see every order waiting for a yes.
  2. Use the location menu at the top of the page to narrow the list to one location.
  3. Press All to see every order again.

Inside an order

Open an order to see its details. The top shows the order number, the date it was created and, once it is done, the date it was completed. You also see:

  • Reviewers: the people who approve the order. A tick beside a name means that person has approved.
  • Assignees: the people the order is assigned to.
  • Four counters: Open Invoices, Open Shipments, Pending Approvals and Total Items.

Below are the tabs Order Summary, Purchase Orders, Invoices, Credit Memos and Shipments. Order Summary lists the items supplier by supplier, each with its own status, because every supplier fulfils its part separately.
