Purchase orders
Read, share and edit the purchase order each supplier receives for your order.
An order with items from several suppliers is not sent as one. Each supplier gets a purchase order of its own, with only its items on it. Wren keeps every purchase order on the order's Purchase Orders tab, so you can read it, send it on or correct it.
Open a purchase order
- Open the order from Orders.
- Press the Purchase Orders tab. There is one row for each supplier, with its PO Number, Supplier, Total PO, Status and Created Date.
- Press a row to open that purchase order.
The top of a purchase order
| Field | What it shows |
|---|---|
| Sales Person | Your supplier's rep for your account, the person to call about this order. |
| Contact Information | The rep's email address. |
| Supplier | The supplier this purchase order is with. |
| Invoice Date | On a purchase order, the day it was created. |
| Ship To | The location the delivery goes to. |
| Bill To | The location the supplier sends the bill to. It can differ from Ship To. |
| Payment Terms | How long the supplier gives you to pay, for example Net 30. |
| Due Date | The day payment would fall due under those terms. |
The items and the total
Each line shows the item's codes (Wren ID, GTIN, Supplier ID, Manufacturer ID), then Requested QTY, Requested Unit Price and Requested Price, which is the two multiplied. Type in Search items to find one line, and click a column title to sort by it.
The Invoice Summary below lists what is added and taken off in five groups: Taxes, Misc, Discounts, Shipping and Credits. Grand Total is what the purchase order comes to.
Share or download it
- Press Share/Export.
- Choose Copy Link (Internal) to copy the address of the page for a colleague who has a Wren account, or Download PDF to save a PDF you can attach to an email or keep on file.
Edit a purchase order
- Press Edit PO. The button turns into Save changes, and the items become fields you can change.
- Change the quantities, prices or items you need (see below).
- Press Save changes.
While you edit, you can:
- Lower a quantity with the minus button, or raise it again with the plus, up to what was ordered.
- Type a new unit price. Requested Price follows as you type.
- Correct the GTIN if it is wrong.
- Press the trash button to take an item off.
- Press Add item, beside the search box, to pick one more item from the catalog.
Nothing is kept until you press Save changes. Leave without saving and the purchase order stays as it was. After saving, the Invoice Summary is worked out again from what is left.
