Credit memos
See the money a supplier gives back, and how it comes off an invoice.
When a supplier gives money back, for a damaged box, a wrong item or a short delivery, it issues a credit memo. Wren keeps every credit memo on the order it belongs to, next to the invoice it reduces, so you always pay the right amount.
Find a credit memo
- Open the order from Orders.
- Press the Credit Memos tab.
- Each row shows the Credit Memo Number, the Supplier, the Related Invoice it reduces, the Credit Memo Date, the Amount and the Status.
- Press a row to open the credit memo.
The Amount shows as a minus, because it is money coming back to you.
Credit memo statuses
| Status | What it means |
|---|---|
| Applied | The credit has been taken off its invoice. |
| Pending | The credit has been issued but is not applied to the invoice yet. |
Inside a credit memo
A credit memo opens with the same top block as a purchase order or an invoice:
- Sales Person, Contact Information and Supplier name who issued it, the same as on the invoice it belongs to.
- Invoice Date is the day the credit memo was issued.
- Ship To and Bill To are the locations the credit is for, and Payment Terms repeat the invoice's.
- Due Date reads -, because a credit memo is money coming off an invoice, not a bill to pay.
Below, the credit memo lists only the items it credits, with the quantity and the price given back. Its Invoice Summary usually has no shipping, taxes or discounts of its own, so the Grand Total is simply the amount credited.
A credit memo is a record, not a task. There is nothing to send or pay, so it has no Share/Export, no Edit PO and no Invoice Paid button.
How a credit reduces an invoice
Open the invoice the credit memo was issued against and look at its Invoice Summary. Under Credits, each credit memo is listed by its number with its amount. That amount comes off the Grand Total, so the amount due on the invoice is already reduced by what the supplier gives back.
- Open the order's Invoices tab.
- Open the invoice named as the Related Invoice on the credit memo.
- Check that the credit memo appears under Credits and that the Grand Total has gone down by its amount.
