Use items (scan out)

Record stock as it leaves the shelf, by barcode or by search, so your counts stay true.

Every time someone takes stock off the shelf, scan it out. Wren lowers the count for that lot at once and writes down who took it, so your inventory matches what is really in the cabinet and you reorder at the right time.

Scan an item out

  1. Open the item from Inventory and press Scan out item at the top of its page.
  2. Find the product. The window starts with a camera view: hold the barcode or QR code on the box up to your camera. Without a camera, the window says Camera unavailable. Search below.
  3. Or, under Manually Search For Product, type a name, SKU or lot number. Up to five matching items from your inventory appear. Press one, or press Save to take the first.
  4. The product now shows under Product Information. If it is the wrong one, press Back to search.
  5. Under Lot Number/Exp, choose the lot you took from. Each lot is listed by its number and expiry date, and the first one is chosen for you.
  6. Set Quantity Used. It starts at 1, and the plus stops at what the lot holds.
  7. Press Checkout.

Cancel at any point closes the window and leaves the stock untouched.

What changes after a scan out

  • Stock for the location where that lot is kept drops by the quantity you used. Nothing needs refreshing.
  • The Quantity tab shows the same lot with fewer left.
  • The Transaction Log gets a Scan Out entry with your name, the lot, the Original count, the Change in red and the New Total.
  • On Inventory, the item reads fewer under QTY available, and Last updated says it just changed.
  • The Analytics charts count what you used, so over time they show how fast the item goes.

Good habits

  • Scan items out when you take them, not at the end of the week. Up-to-date counts are what make your inventory, and the dashboard, worth trusting.
  • Give each person their own Wren login. The log records the name of whoever scanned, so you can always see who used what. See Invite your team.
