Set up approvals
Decide whether orders need a sign-off before they go to your suppliers, and how many.
Approvals let your practice check an order before any supplier sees it. When approvals are on, an order waits as Pending Review until it has collected the sign-offs your account asks for, and only then can it be sent. You choose how many approvals an order needs and who may give them.
Only account admins can change these settings.
Turn on approvals
- Open Account Settings at the foot of the sidebar and choose Company Settings.
- Scroll to Account Settings and find Order Settings.
- Turn on Require Approvals.
- Under Number of Approved Reviews Needed, press + or – to set how many approvals an order collects before it goes out.
Your changes save as you make them.
Choose the approval options
Two more switches under Order Settings fine-tune who has to wait:
- Allow Self Approval: the person who created an order may approve it themselves. Leave it off if every order should be seen by a second person.
- Allow Admins to Bypass Approval: account admins may send their own orders without waiting on approvals.
Decide who approves
Approving is a permission each person gets per location. Open Account Settings > Users, press Edit on a person, and under Roles per Location choose:
- Purchaser Level 1 for people whose orders should go for approval.
- Purchaser Level 2 for people who may create orders and approve them.
Give approvers Purchaser Level 2 at every location whose orders they look after, or choose All Locations. See Roles and permissions.
How an order is approved
- The person who built the order presses Ready for Review. The order now reads Pending Review and shows up for whoever approves orders.
- An approver opens the order, checks its items and total, and presses Approve.
- They confirm with Yes, Approve. Their tick goes on the order's reviewers.
- Once the order has all the approvals it needs, Submit Order sends each supplier its own purchase order.
An approver who changes their mind can press Undo Approval for as long as the order has not been sent. The full walkthrough is in Approve an order.
